Support Specialist-Business and Entrepreneurship

Job Description
Under the direction of the Dean of the School of Business & Entrepreneurship, the Support Specialist is a dynamic and highly organized team member who provides comprehensive support to the Dean and the School's faculty. This role requires initiative, independence, exceptional communication skills, and the ability to juggle multiple projects simultaneously. As the Dean’s “right hand,” the Support Specialist ensures operational excellence across academic programming, internal systems, and external communications.
Primary Duties and Responsibilities:

Administrative Support & Coordination
• Manage the Dean’s calendar, travel, meetings, and internal/external communications.
• Support the Dean in preparing course and curriculum related documentation.
• Create and distribute internal communications, promotional materials, and event invitations.
• Assist in maintaining accurate and timely documentation for course updates and academic records.
• Track program budgets and provide faculty with monthly budget summaries.
• Provide support to the School of Business and Entrepreneurship team including, but not limited to, ordering/maintaining supply inventory, supporting the onboarding and orientation of new faculty, adjuncts, and work study students, assisting faculty and students if class is cancelled, making classroom, college vehicle, and technology reservations, and creating a variety of documents as requested.
Project & Event Management
• Coordinate departmental and advisory committee meetings (scheduling, agenda preparation, minutes, follow-up).
• Manage school-level events such as faculty retreats, student showcases, and community engagement activities.
• Support planning and logistics for the speaker series, and entrepreneurship outreach events.
Data, Communication, & Website Oversight
• Compile and analyze data reports related to student outcomes, course success, and strategic initiatives.
• Serve as the point of contact for the School’s web presence; coordinate updates with faculty and Marketing.
• Collaborate with Marketing and Institutional Effectiveness to develop school-specific reports and visuals.
Student & Faculty Engagement
• Serve as the initial contact for the School of Business & Entrepreneurship.
• Assist students with general questions, and direct inquiries to appropriate personnel.
• Maintain visibility and access to faculty office hours and student support schedules.
• Foster a welcoming, inclusive, and entrepreneurial culture within the school.
Knowledge, Skills, and Abilities:
• Highly organized with strong prioritization and time management skills.
• Exceptional written and verbal communication.
• Proficiency in Microsoft Office applications at an intermediate or advanced level.
• Ability to manage multiple tasks with accuracy and meet tight deadlines.
• Confident using discretion with sensitive or confidential information.
• Collaborative team player with an entrepreneurial mindset and ability to work independently.
• Comfortable in a fast-paced, dynamic environment that serves students, faculty, and community partners.
Required Qualifications:
• Associate’s degree in Administrative Professional, Office Management, Business Management, or a related field.
• Minimum of three years of experience in office management, administrative support, or project coordination.
• Possession of a valid driver’s license.
• Experience managing administrative projects or processes.
Preferred Qualifications:
• Bachelor’s degree in business, education, communications, or a related field.
• Experience in higher education, workforce training, or entrepreneurial settings.
• Industry certifications such as CAPM, CAP, or Microsoft Office Specialist (MOS).
• Demonstrated success working with diverse populations and promoting inclusive practices.
• Experience coordinating events or supporting executive functions.
